It is 6 a.m., it rained overnight, and there is water on the floor of a tenant space or coming through a ceiling tile above the production line. Here is the sequence a facility manager should run in the first 24 hours to limit the damage, protect the building, and get a permanent repair scoped without paying twice.

First Hour: Protect People and the Interior

Get people and inventory out from under it

Move personnel, product, equipment, and electronics out of the drip zone. Cover what cannot move with plastic sheeting. If water is near electrical panels, lighting, or equipment, shut those circuits off and keep them off until the area is dry.

Catch and channel the water

Put containers under active drips. If a ceiling tile is bulging with water, punch a small hole at the low point and let it drain into a bucket rather than waiting for the tile to fail and dump the whole load at once.

Photograph everything

Before anything is cleaned up, photograph the interior damage, the wet ceiling, the floor, and any damaged inventory with timestamps. Your insurance carrier will want it, and it establishes the date the leak became active.

Same Morning: Find the Likely Source Without Guessing

Water on a flat roof travels horizontally under the membrane before it drops, so the stain is rarely directly below the entry point. If your team can safely access the roof, look upslope of the interior stain for:

  • Ponding water that has not drained 48 hours after rain
  • Open or lifted seams, especially at laps and corners
  • Flashing pulled away from HVAC curbs, vents, drains, or parapet walls
  • Clogged drains and scuppers holding water against the membrane
  • Blisters, splits, or punctures in the field of the roof

Do not have anyone walk a wet or icy roof without fall protection, and do not let anyone pour roof cement over a wet membrane. Emergency patches applied to a wet surface do not bond and hide the real entry point from the contractor who has to fix it properly.

An active leak on a commercial building is prioritized. What that visit looks like:

  • Locate the true entry point using visual inspection and infrared moisture scanning, not the position of the stain
  • Stop the water with a temporary repair that is compatible with your membrane, so it does not have to be cut out later
  • Clear blocked drains and scuppers so standing water comes off the roof
  • Document conditions with photographs and give you a written report the same day

Within 48 Hours: Get the Permanent Repair in Writing

The temporary repair buys time. The permanent repair should come to you as a written scope that names the failure cause, the repair method, the materials by manufacturer and system, the cost, and whether the fix is compatible with your existing roof warranty. Ask for the moisture scan results. If the insulation around the leak is wet, that section has to come out or the leak comes back.

If this is the third or fourth leak on the roof in two years, ask the contractor to show you the restoration math. A 20-year warranted restoration system at $4 to $6 per square foot often costs less than another two years of emergency calls, and it is applied over the existing roof with the building open.
